Role Overview

We are seeking a Senior Internal Operations Manager to oversee HR and financial and accounting functions for our team of 20-30 employees. Reporting directly to the founder, this role entails communication with both current employees and new hires.

This full-time position offers 100% remote flexibility, allowing you to work from any location worldwide. A preference will be given to candidates in the EU time zone.

Responsibilities

HR functions:

  • Develop and manage a streamlined system for maintaining and updating employee records
  • Establish clear HR policies and procedures, and maintain an internal People Wiki
  • Facilitate the onboarding and offboarding processes for employees and contractors
  • Manage vacation and sick leave data, and provide guidance to employees regarding these processes
  • Support team members in obtaining visas and navigating the application process
  • Assist employees in acquiring residence permits in various jurisdictions, acting as the primary contact for involved agencies and services (e.g., Deel, Remote)

Financial functions:

  • Oversee all accounting-related tasks, ensuring accurate bookkeeping and blockchain-related recordkeeping for company operations, and hiring accounting contractors as needed
  • Identify and implement process improvements to enhance the efficiency and accuracy of financial reporting
  • Managing the collection of payments from clients. Keeping accurate records and reporting on collection activity.
  • Support the payroll process, guiding employees in issuing invoices and clarifying invoicing procedures for individuals and companies
  • Facilitate salary payments via bank accounts and/or cryptocurrency wallets

Team Support:

  • Provide assistance to the executive team as needed to ensure company goals and objectives are met, and operations run smoothly
  • Organize travel itineraries, transportation, and accommodation for team members attending conferences
  • Collaborate with event management contractors to coordinate conference activities and engagements

Requirements

  • Demonstrated experience in HR, operations management, business administration, or as an executive assistant
  • Proficiency with computers and familiarity with various management software services
  • Knowledge of cryptocurrency and blockchain technology
  • Exceptional organizational skills and attention to detail
  • A strong desire to establish and improve business processes
  • Experience with no-code automation software (e.g., Airtable, Zapier, Slack workflows) is a plus
  • Fluency in English
  • EU or Middle East time zones
